JOB TITLE: Women's Operations Executive

REPORTING LINE: Women's Football Managing Director

DEPARTMENT: Women's Operations

LOCATION: Training Centre, Milngavie

CONTRACT: Permanent, Full time

THE ROLE
The purpose of this role is to lead in all aspects of operations, business, and administration of the Women's 1st team and to support the Girls' Academy, ensuring high standards are set throughout all aspects of the programme. Plan, organise, and deliver high-quality events and match day experiences for the Women's first team. Working closely with the Scottish Women's Premier League, Scottish Football Association, and UEFA, organise and execute the Women's 1st team operations on player registration, football legislation, and governance issues.

Contribute to ensuring that the policies, procedures, and culture are utilised throughout the Women's football department and are implemented on a daily basis.

Manage all Women's 1st team football administration matters and ensure compliance of with all governing body rules and regulations.
Ensure all Women's 1st team administration, policies and procedures are kept in line with current administration procedures utilised within the club as a whole.
Help the club ensure the Women's and Girls' programme remains compliant and meets all deadlines set by the regulatory bodies including managing any audit process.
Responsible for the co-ordination of home match day operations including but not limited to facility bookings, the provision of stewards, medical support , media, staff and volunteers.
Responsible for the updating and maintaining a weekly club schedule of activity and sharing this with appropriate personnel and ensuring effective comms throughout the department for players, and staff
Responsible for reporting on a match to match basis attendances, sponsorship arrangements and ticket sales and benchmarking against commercial targets
Produce, update and maintain databases incorporating all key club information and statistics
Support the increase of commercial revenues through executing quality events (including match days), driving communication between necessary departments such as Commercial, Marketing, and Media.
Ensure all commercial agreements are activated including meeting, and exceeding, the terms and obligations present in all commercial contracts directly with the club and also from the governing body. This may include, but is not limited to, branding, press appearances, media communications, etc.
Create and maintain a database system for Women's and Girls' program including all staff contracts liaising with HR to ensure that all club policies are adhered to, in particular in relation to Child Protection and Well-being.
Support the Women Managing Director in implementing the development of short-, medium- and long-term strategy for the Girls and Women’s programme
Attendance at all SWF/SWPL meetings as and when required
Adhere to the policies and processes for financial spend (e.g. internal PO system) associated with the Women's and Girls' programme liaising with finance department and Women's MD ensuring that all spend does not exceed budget and that all income is either in line with or exceeds budget.
Process time sheets and volunteer expenses monthly.
Support the Girls Academy Operations staff member with duties required that are critical to the successful implementation of the program, such as, assisting with communications to players, registering players in Scottish FA NextGen platforms, or supporting with match-day events/organisation when additional resource is needed.
Ensure that all disciplinary records are maintained and that all players representing the club are eligible to play
To be innovative and creative in the collaboration with Marketing Teams in the event creation and PR campaigns to income generate and to promote the work of the Girls and Women’s Programme
Encourage good relationships and communications across all football departments - 1st team, Academy & Women’s and Girls
Manage the finance, allocation, troubleshooting, readiness of the Women's 1st team players in accommodation.

The nature of the role will require the individual to manage their own diary and hours. This will include weekend working and evening working to be in attendance at games and where required training sessions.

THE CANDIDATE
Strong understanding of academy operations or similar
Excellent understanding of education and life skills within an Academy environment
Excellent and up to date knowledge of Child Protection and Safeguarding children
Comprehensive knowledge of SFA / SWF criteria and SFA Audit process
Strong leadership and management skills
Experienced event organiser
Good recording and reporting skills
High level of communication and listening skills
Excellent presentation skills
Budget management experience
Being educated to degree level is desirable.
